n8n vs Zapier: which one fits your company
Your team copies the same data between tools every week, and two names keep coming up. n8n vs Zapier is decided by one question: who on your team will keep the automations running.

n8n vs Zapier: the short answer
Zapier is the easy start. n8n is the flexible build. Zapier lets anyone on your team connect apps, with no server to run. n8n gives a technical person control over every step, on n8n's cloud or on your own server.
| What you compare | n8n | Zapier |
|---|---|---|
| How it charges | Per workflow run, however many steps it has | Per task: each action that succeeds |
| Where it runs | n8n's cloud or your own server | Zapier's cloud only |
| Free start | Free on your own server. Cloud plans start with a free trial | A free plan with a small monthly task allowance |
| App library | Built in apps, plus any tool with an API, the connection point most software offers | The biggest library of the three common tools |
| Who builds | A developer or a technical builder | Anyone on the team |
| AI agents | Built in | Built in |
Plan prices change often. The way each tool counts usage is what decides your bill.
What Zapier does well
Anyone on your team can build with it. You pick a trigger, such as a new form entry, and the steps that follow. Zapier's assistant can draft the workflow from a plain description.
Most of your apps are already connected. Zapier has the biggest app library of the three common automation tools, and Zapier maintains those connections.
Nothing to host. Zapier runs in its own cloud. There is no server to update, patch or back up.
What n8n does well
One count per run, however long the workflow. n8n counts a full workflow run once, whether it has three steps or thirty. Long workflows stay predictable.
Your server, your rules. n8n runs on n8n's cloud or on a server you choose. On your own server, your workflows and the data they store stay on infrastructure you control.
Room for custom logic. A developer can add code to any step and connect any tool that has an API.
Pick by who keeps it running
-
No developer on the team
Start with Zapier. Your team builds and fixes its own workflows.
-
A developer or a builder you hire
Choose n8n. They get full control, and long workflows count once per run.
-
Strict rules on where data lives
Run n8n on your own server. Workflows and stored data stay on your side.

Zapier vs n8n on cost as you grow
Zapier grows with every action. Each action that succeeds is one task. Triggers and filters are free. A workflow with four actions uses four tasks each time it runs.
n8n grows with every run. The same workflow counts once per run on n8n's cloud. On your own server the software is free, and you pay for the server.
One workflow, priced both ways. A new lead arrives and 5 actions follow. Add it to the CRM, the customer list sales works from, score it, alert sales, send a reply, log it in a sheet. It runs 150 times a month.
| At this volume | n8n cloud | Zapier |
|---|---|---|
| 150 runs a month | 150 executions | 750 tasks (150 runs × 5 actions) |
| Plan it fits, 2026 | Starter, 2,500 executions a month at €20 a month billed yearly | Professional, 750 tasks a month at $19.99 billed yearly, $29.99 billed monthly |
| 600 runs a month | 600 executions, same Starter plan | 3,000 tasks, so the 5,000 task Professional tier at $89 a month billed yearly, $133.50 billed monthly |
Prices from n8n pricing and Zapier pricing, 2026. At low volume the two bills sit close. As runs grow, Zapier counts every action and n8n counts one per run.
Count your team's time too. If nobody on your team will maintain a server, choose n8n's cloud or Zapier.
When each tool is the wrong pick
Zapier: long workflows that run all day. Every action counts. A busy workflow with many steps can outgrow its plan. Zapier runs only in its own cloud. Data that must stay on your servers rules it out.
n8n: nobody to look after it. On your own server, updates, security and backups are your job. A team without a technical person will also find the builder slower to learn.
How to choose between n8n and Zapier
Answer three questions in a minute.
- How many actions does one run take?
- How often does it run each month? Runs times actions is your Zapier count, runs alone your n8n count.
- Who fixes it when it breaks? Nobody technical points to Zapier. A developer makes either a fair pick, and the counts decide.
We build on n8n, Zapier and Make. The pick follows your work, not the tool. See what our business automation services cover, or start with the free automation assessment. It maps the work your team repeats and names the first workflow to build.

Questions founders ask about n8n and Zapier
Is n8n better than Zapier?
For a technical team that wants control, often yes. For a team without a developer, Zapier is the better pick: anyone can build and fix the workflows.
Is n8n or Zapier cheaper?
n8n counts each full run once, Zapier counts every action that succeeds, and long workflows count fewer units on n8n. If you host n8n yourself, add the server and the hours to keep it updated.
Are n8n and Zapier free?
Zapier has a free plan with a small monthly task allowance and two step workflows. n8n is free to run on your own server, and its cloud plans start with a free trial.
Can n8n connect to as many apps as Zapier?
Zapier has the bigger ready made library. n8n connects any tool with an API through a general request step, which takes a little more setup.
Is n8n open source?
Not in the strict sense: the code is public under n8n's own license and free to use inside your own business. Offering n8n to others as a paid service needs a commercial agreement with n8n.
