n8n alternatives: which tool fits your company

n8n stops fitting when your team has no developer, sells what it builds or works in Microsoft 365. Six other tools fit those jobs better. n8n keeps one strength: each full run counts once, however many steps it has.

An n8n alternative fits when your team, your apps or your rules point somewhere else. Below: six tools, what each does well, and when to pick it over n8n.

n8n alternatives side by side

Each tool wins on a different job. Head to head detail lives in our n8n vs Zapier comparison and n8n vs Make comparison.

Make: a managed visual canvas

Make fits a team without a developer that builds branching workflows. Routers split a workflow into branches and filters pass only matching records, all on one visual canvas with error handling.

Make hosts everything and bills in credits. Most steps use one credit each time they run, and a free plan covers small volumes.

Pick Make over n8n when nobody on the team should run a server. Updates and uptime are Make's job.

Zapier: the quickest start

Zapier fits a team that wants a workflow live today. Its AI assistant builds a workflow from a plain description.

Zapier runs in its own cloud and bills per completed task. Triggers and filters do not count, and a free plan covers two step workflows (Zapier help center).

Pick Zapier over n8n when your apps connect best there. Check Zapier's app directory first: when your apps are there, nothing else needs building.

Activepieces: open source on a simple builder

Activepieces fits a team that wants open source and a builder anyone can read. You build each flow step by step on a visual builder.

Run it free on your own server, or use the Activepieces cloud. The cloud bills in credits, one per run however many steps the flow has.

Pick Activepieces over n8n when the license matters. Its Community Edition uses the MIT license. You can build it into what you sell (Activepieces README on GitHub).

Windmill: scripts that become tools

Windmill fits a team of developers that writes scripts. Python, TypeScript, Go, Bash or SQL scripts become workflows, schedules and simple internal apps.

Self host it free, or use the Windmill cloud. The cloud has a free tier, and team plans bill per user.

Pick Windmill over n8n when your team thinks in code. One script becomes a form the rest of the company can run.

Node-RED: devices, APIs and online services

Node-RED fits teams that connect hardware devices and APIs, such as machines, sensors and other software, to online services. You wire a flow in the browser editor and deploy it in one click.

Node-RED is open source, and you host it. It runs on small hardware such as a Raspberry Pi, or in the cloud. The OpenJS Foundation looks after the project.

Pick Node-RED over n8n when the workflow starts at a machine. Teams use it for home automation, industrial control systems and everything between.

Power Automate: made for Microsoft 365

Power Automate fits a company that runs on Microsoft 365. Cloud flows connect OneDrive, SharePoint, Salesforce and other apps through Microsoft's connectors.

Some Microsoft 365 plans include a limited set of its features. A Premium license per user adds premium connectors and desktop automation. Unattended desktop flows run with nobody logged in. They need a Process license or pay as you go billing (Microsoft's licensing guide).

Pick Power Automate over n8n when work happens in old desktop software. Desktop flows repeat the clicks and typing in legacy desktop applications, on a machine you register.

When to stay on n8n

Stay when long workflows run often. n8n's cloud counts each full run once, however many steps it has.

Stay when your data must live on your servers. n8n runs on your own server, on premises or in a private cloud.

Stay when the team grows. Every n8n plan includes unlimited users and workflows (n8n pricing page), and a developer can write code in any step.

Cautions before you switch

Usage plans grow with volume. On Make and Zapier, a workflow that loops over many records uses more credits or tasks. Check usage in the first month.

A server you host needs an owner. Activepieces, Windmill and Node-RED on your own server need updates, security patches and backups. Without a technical person, choose a cloud plan.

A switch is a rebuild. Rebuild each workflow in the new tool and test it before you turn off the old one.

Pick by your situation

  1. No developer, short handoffs between apps: Zapier.
  2. No developer, workflows that branch: Make.
  3. Open source you can sell on: Activepieces.
  4. Developers who write scripts: Windmill.
  5. Hardware devices and online services: Node-RED.
  6. Everything in Microsoft 365: Power Automate.

Questions founders ask about n8n alternatives

Which n8n alternative is easiest without a developer?

Zapier fits short workflows between apps, and Make fits workflows that branch. Both run in their own cloud, with nothing for you to host.

Is there a free n8n alternative?

Activepieces and Windmill are free on your own server, and Node-RED is open source. Make, Zapier and the Activepieces cloud have free plans with small allowances.

Can our data stay on our own server after we leave n8n?

Activepieces, Windmill and Node-RED run on your own server. Make and Zapier run in their own clouds, and Power Automate runs in Microsoft's cloud with desktop flows on machines you register.

Do we have to leave n8n over its license?

Not for your own internal business use, which the license allows. Once you build n8n into a product you sell or hand to others, a tool under an open source license, such as Activepieces, fits better.

Is switching from n8n a big job?

The number of workflows sets the effort: each one is rebuilt and tested in the new tool. Move the short workflows first, and leave the rest running on n8n until the new ones match their results.
